Library and Archives of Universitas Gadjah Mada (UGM) has won 3rd runner-up in the national competition for college library innovation organized by the National Library of the Republic of Indonesia. This achievement was made thanks to the innovation entitled “Lawang Sajarah: Reflection of the Past for the Future”.
The competition journey began with the submission of a proposal on April 30, 2024. After going through a long process and strict selection, from 56 participating universities, UGM Library and Archives made it into the top 10. This achievement brought them to the final round which took place in Jakarta on September 18-20, 2024.
“Lawang Sajarah” means ‘history door’. The term refers to the door that brings one into the world of history through the rare collections owned by UGM Library and Archives. However, Lawang Sajarah is not just a collection of books. It is a step forward in information dissemination by utilizing artificial intelligence (AI) to support an inclusive campus.
The excellent features developed in the Lawang Sajarah platform include Text to Speech, Speech to Text, Auto Recommendation, Regrouping, and Global Access Statistic. This development involved the collaboration of various parties, from librarians to the IT team, with the aim of creating a more interactive user experience and facilitating access to information for all groups.
The achievement in this innovation competition is in line with the 9th Sustainable Development Goals (SDGs), namely industry, innovation, and infrastructure. With this innovation, UGM Library and Archives not only acts as a repository of history, but also as a pioneer in the utilization of technology for information inclusiveness and accessibility. This achievement is proof of UGM’s commitment in developing a library that is adaptive and responsive to the needs of the times.
On a bright Sunday, September 22, 2024, the UGM Library and Archives courtyard was filled with laughter and joy. Under the warm sunlight, a strong sense of togetherness was forged during the family gathering event, marking the conclusion of the extensive celebrations of the 1st Anniversary of the UGM Library and Archives, which had been ongoing since March 2024.
The event was attended not only by the management and staff of the Library and Archives but also by cleaning service personnel, part-time students, and their families. With a variety of exciting activities, the event successfully created a warm and friendly atmosphere.
The UGM Library and Archives family gathering kicked off with a group exercise session. Aligned with the goal of Sustainable Development Goal (SDG) 3, which is to ensure healthy lives and promote well-being for all, this morning exercise provided a refreshing and invigorating start. Full of energy, participants moved in unison, igniting the spirit of healthy and positive living.
Following the energetic group exercise, the excitement continued with a series of fun competitions. The water transfer and ball transfer competitions became the main attraction, creating a cheerful and enjoyable competitive atmosphere. Cheers and laughter filled the air as each team gave their best to win the games.
In addition, the event was further enlivened by the much-anticipated door prize giveaways. Furthermore, the celebration included the announcement of the “Employee of the Year”, a prestigious award recognizing the dedication and hard work of selected staff members. The event also featured a group sing-along session, fostering a warm sense of togetherness among all participants.
This family gathering successfully strengthened the bond between employees and their families. The warm atmosphere that was created throughout the event served as an important occasion to reinforce the sense of togetherness, not only within the workplace but also beyond.

The UGM Library and Archives organized a User Education event for the Indonesia Language and Culture Learning Service (INCULS) Program of the Faculty of Cultural Sciences, UGM, on Wednesday, 4 September 2024. This event was part of the learning process, introducing students to Indonesian language and culture by familiarizing them with the activities and routines of the UGM Library and Archives.
Seven INCULS students, along with two mentors, participated in the event. They received an introduction to the UGM Library in the WOW Meeting Room, delivered by Dr. Safirotu Khoir, Coordinator of Public Relations and International Affairs. The session covered information about the library's services, facilities, and various functions that support academic activities.
Following the introduction, the participants took part in a library tour guided for introduced to the library's facilities and services, including the book collections, reading rooms, and digital services that support research and learning activities.
This event aligns with the fourth Sustainable Development Goal (SDG), Quality Education. Through the User Education program, students can better utilize the resources and facilities at the UGM Library to support a higher quality of education.
By participating in this event, INCULS students gained a deeper understanding and firsthand experience of how libraries in Indonesia play a role in supporting education and how they form a crucial part of their language and culture learning journey.

The visit, led by Puan Rusniah Binti Sayuti and accompanied by nine other members, took place in the Archives Meeting Room, L7 Building, 2nd Floor, UGM Library and Archives.
UGM's Head of Library and Archives, Arif Surachman, SIP., MBA., warmly welcomed the guests, accompanied by the management and public relations team. To initiate discussions, Arif Surachman provided an overview of the various services and facilities at UGM Library and Archives. The discussion session was intense and enthusiastic between the two institutions, creating a warm and friendly atmosphere that further strengthened their collaborative spirit.
Beyond discussions, the visit included a tour of UGM iconic building, Balairung, a symbol of the campus's history and identity. The event continued with a library tour, allowing guests to see firsthand the innovations and leading facilities offered by UGM Library and Archives.

Yogyakarta, August 21, 2024 - The Gadjah Mada Library and Archives Fair (GMLAF) once again presented one of its series of events, a book discussion titled "Waste to Energy: Waste Treatment Technology into Energy." This event took place in the Seminar Room, 2nd floor of Building L1, Gadjah Mada University (UGM) Library and Archives, and attracted the attention of the participants in attendance.
The book discussion began with remarks from the Head of UGM Library and Archives, Arif Surachman, S.IP., MBA. In his speech, Arif Surachman emphasized the importance of innovation in waste management in the modern era, particularly through technology capable of converting waste into renewable energy sources. He also highlighted the role of libraries and archives as centers of knowledge that can support the development of sustainable solutions for society.
The book being discussed, "Waste to Energy: Waste Treatment Technology into Energy," was authored by Prof. Ir. Arief Budiman, MS., D.Eng., IPU. The book delves into the technology of converting waste into energy, a topic highly relevant in the face of today's complex waste issues. Before the discussion session began, Prof. Arief Budiman provided an overview of the various technologies discussed in his book, such as Landfill Gas (LFG), biogas, incineration, pyrolysis, and gasification. Each of these technologies has its own advantages and challenges in the context of converting waste into energy.
Following this, Ir. Wiratni, S.T., M.T., Ph.D., IPM, as the reviewer, highlighted the strengths of the book. She mentioned that the book is highly beneficial for stakeholders, especially in understanding the latest waste treatment technologies. One key point raised was the potential for processing organic waste, which accounts for about half of Indonesia's total waste, using technologies like Landfill Gas and biogas. She also touched on waste processing at the Bantargebang Integrated Waste Processing Site (TPST) as an example of successful technology implementation.
The next reviewer, Prof. Chandra Wahyu Purnomo, S.T., M.E., M.Eng., D.Eng, added an in-depth presentation on thermal technologies such as incineration, pyrolysis, and gasification. According to him, these thermal technologies excel in reducing waste volume by up to 90%, but require waste separation at the source to optimize the process and reduce costs. He also emphasized that thermal methods should be the last resort after applying the 3R principles (Reduce, Reuse, Recycle) in waste management.
This event not only discussed the technical aspects of waste processing but also highlighted the importance of socio-economic and educational approaches in creating a sustainable waste management system. The book discussion contributed to the achievement of the Sustainable Development Goals (SDGs), particularly SDG 4 on Quality Education and SDG 13 on Climate Action, as well as encouraging collaboration among parties in line with SDG 17 on Partnerships for the Goals.
Through this event, public understanding and participation in waste management can be enhanced, while also making a tangible contribution to efforts in addressing global climate change.
On Tuesday, August 20, 2024, in the Archives Meeting Room, UGM Library and Archives welcomed a visit from two institutions: the Bung Karno Proclaimer Library of Blitar City and the Medan Health Polytechnic of the Ministry of Health. The visit aimed to enhance educational access and strengthen partnerships. Arif Surachman, SIP., MBA., Head of UGM Library and Archives, warmly welcomed the guests, emphasizing the importance of collaboration between libraries to support their respective missions and visions.
In his welcome address, Arif Surachman provided a brief overview of the UGM Library and Archives, highlighting its extensive collections and commitment to preserving knowledge. He noted that libraries play a crucial role in promoting education and ensuring that resources are accessible to everyone, in line with the Sustainable Development Goals (SDGs) related to education. This, of course, needs to be supported by adequate budget availability.
Aji, a staff member of the Bung Karno Proclaimer Library of Blitar City, shared their purpose for the visit, which was to hunt for publications related to Bung Karno, Indonesia's first president. He stressed the importance of building relationships and fostering collaboration between libraries to enhance their collections and services.
Adriana, representing the Medan Health Polytechnic of the Ministry of Health, explained that their visit aimed to conduct a benchmarking study in preparation for Accreditation in 2027. She emphasized the importance of learning from established institutions like UGM to improve their library management and services.
The discussions during the visit focused on managing the various types of collections held by UGM Library and Archives. Special attention was given to the management of student theses and rare collections, which are crucial for academic research and the preservation of national history. The resource persons for this visit's discussion included Wahyu Supriyanto, S.E., M.Si., Safirotu Khoir, PhD, and Kurniatun, S.IP.
A lively Q&A session followed, where the visiting guests engaged in discussions about collection management and preservation practices within the UGM Library and Archives. This exchange of ideas was essential for promoting collection preservation activities and innovation in library services.

The Gadjah Mada Library and Archives Fair (GMLAF) officially opened on Monday, August 19, 2024, as part of the first Dies Natalis celebration of the Library and Archives at Universitas Gadjah Mada (UGM). This four-day event, running from August 19 to 22, 2024, at the UGM Library and Archives, showcases a range of exciting activities that blend literacy, history, and student creativity, all in support of the Sustainable Development Goals (SDGs), particularly SDG 4 on quality education and SDG 17 on partnerships for achieving goals.
The opening of GMLAF began with a report from the Dies Natalis Chair, Sarwono, S.IP., M.A., who detailed the various activities held since March 2024 as part of this anniversary celebration. In his report, Sarwono emphasized the crucial role of libraries and archives in supporting educational sustainability and knowledge preservation.
Following this, the Head of the UGM Library and Archives, Arif Surachman, S.IP., MBA, gave a speech highlighting the library’s contribution to SDG 17, which focuses on partnerships for achieving goals. "We aim to present a series of events with a specific theme that includes elements of libraries, archives, and museums," he stated.
To mark the official opening of the event, Arif Surachman, together with the Head of the UGM Museum, Dr. Tjahjono Prasodjo, M.A., performed a symbolic ribbon-cutting ceremony. The opening event was attended by faculty library heads, library directors from Yogyakarta, and bazaar participants.

On Thursday, August 8, 2024, a group of new students from the UGM Religious Studies and Intercultural Studies program participated in a User Education event at the UGM Library. The event began with an informative presentation by Safirotu Khoir, Ph.D., Coordinator of Public Relations and International Affairs at the UGM Library and Archives. She provided a comprehensive overview of the various facilities and services available at the UGM Library, highlighting how students can utilize the library to support their studies and research. She emphasized the crucial role of the library in enhancing the teaching and learning process at UGM, particularly in creating an inclusive and innovative academic ecosystem.
Following the presentation, Wasilatul Baroroh, S.S.I., led a demonstration on searching for electronic resources (e-resources) subscribed to by the UGM Library. New students were introduced to various search features that can help them access journals, e-books, and other academic resources online. Additionally, she explained how to use the library menu in Simaster, ensuring that new students can easily and efficiently access academic information.
The event became even more interactive with a Q&A session, allowing new students to ask questions about library services and facilities. Afterward, they were taken on a library tour, exploring various rooms within the UGM Library. The tour offered students an opportunity to become more familiar with the available facilities, from book collections to comfortable reading areas.

The Library and Archives of Universitas Gadjah Mada (UGM) in collaboration with the Library Unit (UPA) of Universitas Bangka Belitung (UBB) held a discussion on cooperation on Thursday (1/8) in the Meeting Room of Building L6, Library and Archives of UGM. The discussion on the cooperation document was attended by the Library and Archives Management Team and two participants from the UBB Library Unit.
The Head of the Library and Archives, Arif Surachman, SIP., M.B.A., stated that this cooperation should be mutually beneficial. "We hope this cooperation will serve as a guideline in defining what we are entitled to implement, including the rights of each party," he explained.
Arif mentioned that this is the first collaboration with the UBB Library Unit. The cooperation to be carried out by UGM's Library and Archives and UBB's Library Unit includes implementing collaborative programs in library services and resources.
On this occasion, Arif emphasized that his party is opening opportunities for UBB to access library services at UGM. "The cooperation needs to be clarified on whether the agreed library services and resources facilitation will be utilized by the entire academic community of UBB."
Meanwhile, Muhammad Jumnahdi, S.T., M.T., as the head of UBB's Library Unit, who was present with Arja Kusuma, SIP, the First Librarian at UBB, stated that they are committed to maintaining this good cooperation. "We chose UGM because we see that the services here have developed rapidly. We hope our academic community can also enjoy facilities like digital resources here," he explained.
