Book Donation for Saraswati Library in Sinduharjo: Supporting Community Literacy Access

Something was different in the lobby of the UGM Library and Archives on Thursday, February 27, 2025. Stacks of books were not merely inanimate objects but a small army ready to embark on a new journey to their new home. A total of 60 titles with 68 copies, donated by library patrons through the Book Donation @UGMLibrary program, were handed over to Saraswati Library in Sinduharjo Village, Ngaglik, Sleman. This donation is part of an effort to expand access to reading materials for communities in need.
This donation program does not only target school libraries but also extends to village libraries and reading communities. As the distribution of reading materials grows, so does literacy within society. The right book in the right hands can inspire, open opportunities, and help build a brighter future.
This book donation is not just about giving—it is about planting seeds of change. Every page turned can mark the beginning of new dreams, ignite imagination, and cultivate curiosity. In the hands of readers, these books will live a second life—as a source of inspiration that continues to flow and bring meaning to those who read them.
More than just a donation, this initiative is a tangible step in supporting Sustainable Development Goal (SDG) 4: Quality Education. Education is not limited to classrooms; it is also about providing opportunities to learn anywhere, including through libraries that continue to grow and serve their communities.

With this donation, Saraswati Library is expected to thrive and become a more active learning hub for the surrounding community. The UGM Library and Archives also remain committed to fostering collaboration with various stakeholders to expand literacy programs and improve access to knowledge for all.

Optimizing Collections: UGM Library and Archives Conduct Weeding for More Effective Information Access

The Library and Archives of Universitas Gadjah Mada (UGM) continue to enhance collection management by conducting a weeding process for printed periodicals in February 2025. Weeding is a selection process aimed at retaining frequently used materials while relocating older, less-accessed collections to specialized storage areas. Through this process, collections with high usage levels will remain in the main reading area, while those with lower usage or available in digital format will be stored in a dedicated space on the third floor of the L6 building.
This initiative is part of ongoing efforts to optimize space and maintain a collection that remains relevant to users’ needs. The policy aligns with Sustainable Development Goal (SDG) 4 on Quality Education, emphasizing the importance of access to up-to-date and high-quality learning resources for the academic community.
In addition to preserving relevant collections, the UGM Library and Archives is also conducting data entry to ensure systematic record-keeping, making it easier for users to access the information they need. This data digitization effort is part of the library’s modernization strategy in response to the challenges of the digital era, where the demand for fast and accurate information continues to grow. This step supports SDG 9 on Industry, Innovation, and Infrastructure, particularly in the development of technology-based information infrastructure to enhance accessibility and efficiency in library collection management.
The weeding process is a strategic step in sustainable collection management, adapting to academic developments and user needs. With a more structured storage system, older collections remain accessible when needed without compromising the ease of accessing newer materials. Furthermore, the UGM Library and Archives continuously promotes the optimal use of information resources through various collection management programs, including digitization and mapping user information needs.



Moving forward, the library will conduct regular evaluations of its collections to provide more effective, efficient, and up-to-date information services. These evaluations will consider collection usage patterns, emerging research trends, and the academic needs of the UGM community. Through these strategic measures, the UGM Library and Archives aims to continue supporting quality education and innovation in the academic environment, in line with the vision of sustainable development in education and information technology.

Mastering Bibliometrics in Two Hours: Library Clinic Presents a Practical Session

The Library Clinic session was held with the topic "Bibliometrics" on Tuesday (25/2) in the WOW Meeting Room at the UGM Library and Archives. The session, which took place from 9:30 to 11:30 AM WIB, featured Janu Saptari, S.IP., as the facilitator. Participants gained knowledge and skills in conducting bibliometric analysis, a method used to evaluate and map scientific literature.
During the session, participants learned about the fundamental concepts of bibliometrics, data collection techniques, bibliometric data analysis, as well as the application and interpretation of analysis results in a research context. With these skills, they can optimize information resources to support their academic research.
This initiative aligns with Sustainable Development Goal (SDG) 4: Quality Education by providing learning access that enhances academic literacy.

Designed to assist students, lecturers, researchers, and academic staff, the Library Clinic serves as a platform for library users to overcome various academic challenges, particularly in accessing, searching, and utilizing library resources.

The "clinic" concept in the Library Clinic is adapted from medical services, where users facing technical challenges in accessing specific information can consult with librarians as "information specialists" who provide tailored services to meet their needs.
The Library Clinic sessions are held every weekday, from Monday to Friday, with different topics each day. Library users can attend the sessions according to the schedule without registration.
With a more personal and solution-oriented approach, the Library Clinic helps enhance users' understanding and skills in managing and utilizing academic information more effectively.

Literacy Synergy: UGM Library and Archives Discuss Collaboration Opportunities with Yogyakarta City Library and Archives Office

In an effort to expand literacy access and strengthen strategic partnerships, the Yogyakarta City Library and Archives Office visited the Universitas Gadjah Mada (UGM) Library and Archives on Friday (21/2). The visit was warmly received by the UGM Library and Archives Management Team, accompanied by several staff members, in the Archives Meeting Room, 2nd Floor.
The delegation was led by Afia Rosdiana, M.Pd., Head of the Yogyakarta City Library and Archives Office, accompanied by Nunun Zulaikha, S.IP., M.M., Head of the Library Management and Reading Culture Development Division, along with other staff members from the office.
The visit aimed to explore potential collaboration in journal database access, book collection utilization for UGM’s academic community, and a book donation program. One of the key initiatives discussed was the optimization of UGM’s book donation program, which has garnered significant interest from various libraries.
Additionally, the Yogyakarta City Library and Archives Office introduced their reference service model, which allows the general public to consult and gain access to literature. This concept opens further opportunities for collaboration with UGM Library and Archives in enhancing public access to information.
On this occasion, Arif Surachman, S.IP., MBA, Head of UGM Library and Archives, expressed his support for the proposed collaboration. "We fully support this initiative as part of UGM’s commitment to expanding literacy access. The book donation program and reference service collaboration with the City Library are expected to serve as a bridge for the wider community to access quality reading materials," he stated.
He further emphasized that this initiative should be followed up with a Cooperation Agreement (PKS) to ensure that all planned programs are systematically and sustainably implemented. With this agreement, both institutions can maximize the benefits of their collaboration for the community.
This partnership aligns with Sustainable Development Goal (SDG) 4: Quality Education, which aims to enhance access to inclusive and high-quality educational resources. Furthermore, it supports SDG 17: Partnerships for the Goals, emphasizing institutional synergy as a key factor in broadening the impact of literacy programs.

UNDIP Library and Information Science Students Undertake Internship at UGM Library and Archives

Yogyakarta – Five undergraduate students from the Library and Information Science Program at Diponegoro University (UNDIP) have successfully completed their internship at the Library and Archives of Universitas Gadjah Mada (UGM). This internship program lasted for 34 days, from December 23, 2024, to February 14, 2025. Throughout the program, students gained hands-on experience in various aspects of library and archival management as part of efforts to enhance educational quality and strengthen partnerships between academic institutions.

During the internship, students were assigned to different sections of library services. In the processing division, they were involved in all stages of processing, from pre-processing to post-processing. Additionally, they provided services in circulation, Electronic Thesis & Dissertation (ETD) services, conducted KKI scanning, and assisted library users at the information desk or help desk. In the public relations department, they contributed to creating social media content for Instagram, while in the Lawang Sajarah section, they worked on digitizing rare collections.
Beyond library services, students also had the opportunity to gain experience in the archival division. They received training in media conversion and authentication, photo archive preservation, and the lamination process for archival materials. Through this program, students not only developed technical skills but also gained a broader understanding of information management and preservation in the digital era.
This internship program aligns with Sustainable Development Goal (SDG) 4 on quality education, emphasizing the importance of lifelong learning and inclusive education. By participating in this program, students gained practical experience that enhances their competencies in library and archival science. Additionally, the program contributes to the achievement of SDG 17 on partnerships for the goals by fostering collaboration between UNDIP and UGM to improve educational quality through academic cooperation.
Through this internship, students have successfully applied their academic knowledge in real-world professional settings, equipping them with the skills needed to excel in their field. Furthermore, the synergy between universities in developing practice-based education has been effectively strengthened, ensuring the continuous development of highly skilled and competitive professionals in library and information science.

Spreading Knowledge, Building Literacy: Book Donation for SMK Pariwisata Bantul

In an effort to support literacy development among students, UGM Library and Archives reaffirmed its commitment through the Book Donation @UGMLibrary program. On this occasion, a total of 80 book titles with 91 copies were donated to SMK Pariwisata Bantul in a symbolic handover ceremony held in the lobby of UGM Library and Archives on Wednesday, February 5, 2025.

The books were handed over directly by Martina Uki E., S.Ipust, UGM Librarian, to a representative of SMK Pariwisata Bantul. The donated books cover various fields of knowledge and general insights that can support students' learning at school.
This donation program is part of UGM Library and Archives' efforts to contribute to the United Nations Sustainable Development Goal (SDG) 4: Quality Education. Through this initiative, students at SMK Pariwisata Bantul will gain greater access to high-quality reading materials, which can enhance their learning experience.
UGM Library and Archives also invites the public to take part in this literacy movement. A book drop box has been provided on the 1st floor lobby of UGM Library and Archives for anyone who wishes to donate books. The collected books will later be distributed to communities, public groups, or schools in need.
Martina Uki E. expressed her hopes that this program will continue and reach more schools and communities in need. "We believe that access to quality books can be a window of knowledge for the younger generation. Therefore, we invite more people to participate in this program," she stated.
By fostering synergy between educational institutions and society in promoting literacy, UGM Library and Archives aims to contribute to creating a more inclusive and sustainable learning environment. Through this small step, the spirit of sharing knowledge continues to shine for a better educational future.

Part-Time Students Ready to Contribute to UGM Library and Archives

The Library and Archives of Universitas Gadjah Mada (UGM) once again provided an opportunity for students to be involved in various academic and administrative activities. On Thursday, January 30, 2025, a total of 18 students from various faculties who had successfully passed the selection process as part-time students participated in an official briefing session at the Archives Meeting Room, 2nd Floor, UGM Library and Archives. This program is one of the strategic steps to enhance services and optimize information management at UGM Library and Archives.

During the briefing session, the Head of UGM Library and Archives, Arif Surachman, S.IP., MBA., warmly welcomed the selected students. He emphasized the important role of part-time students in supporting the operations of the UGM Library and Archives. "Welcome to UGM Library and Archives. You will become part of a team that directly contributes to various aspects, including library services, archival processing, public relations, and podcast management," he stated.
Furthermore, Arif Surachman explained that the involvement of part-time students not only benefits the institution but also the students themselves. They will gain hands-on work experience, develop communication skills, and understand how the Library and Archives function in supporting academic activities at UGM.
Meanwhile, the Head of the Archives Division, Erna Widayati, S.E., MM., highlighted the importance of synergy between different divisions in the operations of the UGM Library and Archives. She stressed that since the library and archives have officially merged, each part-time student must have cross-disciplinary understanding and be ready to assist one another.
The presence of part-time students strengthens the commitment of UGM Library and Archives in supporting Sustainable Development Goal (SDG) 4: Quality Education. By assisting in the management of information and archival resources, they play a role in creating more inclusive and high-quality access to information for the entire academic community.
With part-time students on board, UGM Library and Archives further solidifies its role as a dynamic center for literacy, information, and archiving. Through this program, library and archive services are expected to become more efficient, while the participating students gain valuable work experience. The enthusiasm and fresh energy brought by these students serve as a positive force in realizing a more innovative and impactful UGM Library and Archives.

Exploring the World of Content Production: Learning Best Practices from InaHealth TV

In an effort to enhance the quality of education and access to information, the Podcast Team of the Library and Archives of Universitas Gadjah Mada (UGM) conducted a study visit to InaHealth TV FKKMK UGM on Tuesday and Wednesday, January 21 and 22, 2025. This activity represents a strategic step to deepen the team’s understanding of managing podcasts and YouTube content.
Accompanied by Yulistiarini Kumaraningrum, S.P., M.M., the Podcast Team of the Library and Archives of UGM had the valuable opportunity to learn directly from InaHealth TV, which has experience in digital content production. In a collaborative atmosphere, Project Manager Wisaksono Adhi, S.PT, M.I.Kom., and his team provided in-depth explanations about various practices in YouTube content production, from pre-production to post-production. In addition to theoretical explanations, the Podcast Team also had the chance to see the content production process at InaHealth TV firsthand. This visit provided technical insights while inspiring the team to think creatively in creating informative and engaging content.
This activity aligns with SDG 4, which emphasizes the importance of inclusive and quality education. By utilizing digital media such as podcasts and YouTube, the Library and Archives of UGM aims to reach a broader audience and provide educational content that benefits the community. Quality content can serve as an important source of information, especially for the younger generation that increasingly relies on digital media.

Furthermore, the collaboration with InaHealth TV reflects SDG 17 on partnerships for achieving goals. The cooperation between the Library and Archives of UGM and InaHealth TV underscores the importance of building networks and collaborations with various parties to create a positive impact for society. Through this partnership, a beneficial synergy can be established for both parties in efforts to enhance literacy and education.


Lilik, a member of the Podcast Team of the Library and Archives of UGM, stated, "This visit has given us many new insights on how to produce content that is not only engaging but also informative. We hope to implement what we have learned to improve the quality of our podcast and reach more listeners."
With the knowledge and skills gained from this visit, the UGM Library and Archives team is optimistic about making a greater contribution to literacy development in the community. The UGM Library and Archives is committed to continuously learning and innovating in content production, aiming to provide broader benefits and support the goal of quality education for all.

Spread the Spirit of Literacy Through Book Donation Programme

As a manifestation of support for quality literacy and education, the Gadjah Mada University (UGM) Library and Archives is once again distributing book donations on Monday and Wednesday, January 20 and 22, 2025. A total of 41 titles with 48 copies were donated to SMP Muhammadiyah Kretek, while 40 titles with 50 copies were received by SMP Muhammadiyah Ashidiq Gunung Kidul.
This initiative is part of the Book Donation Program @UGMLibrary, a community service program that connects book donors with beneficiaries in schools or communities in need. Through this program, the UGM Library and Archives supports the Sustainable Development Goals (SDGs) 4, which emphasizes the importance of inclusive and equitable education. "We hope these books can serve as a bridge to broader insights and greater motivation for learning among students," said Roh Wahyu Widayati, S.I.Pust., the Program Manager for Book Donation.


The UGM Library and Archives also provides a Station Book Drop facility for UGM members and the community who wish to participate in donations. The books collected through this facility will be sorted and distributed to schools or communities in need.
This program not only enriches the book collection in recipient schools but also opens wider access for students to read quality books. With this initiative, the UGM Library and Archives continues to strive to be part of the collective effort to create a more intelligent and literate society.
