Digital Transformation of Libraries and Archives: Podcast Training for Information Services Development

In an era where access to education and information is crucial, the UGM Library and Archives are undergoing a transformation to meet the demands of the digital age. On December 4, 2024, staff participated in a podcast management training focused on digital transformation at the Archive Meeting Room. This initiative aligns with the Sustainable Development Goals (SDGs), particularly in enhancing access to education and promoting education for sustainability.

The speaker for this training session was Wisaksono Adhi, S.PT, M.I.Kom., also known as Dhimas, the Project Manager of InaHealth, who shared his knowledge and expertise in podcast management. The event aimed to equip the Library and Archive staff with the skills needed to create and manage podcasts, thereby enhancing information services for both the library and archives. This training is an important step in adapting to new technologies and ensuring that the library remains relevant in the digital age.

Certainly, this aligns with the fact that internet access has become a basic need for education and the dissemination of information. By integrating podcasting into library and archive services, it is expected to reach a broader audience, providing informative, engaging, and accessible content anytime and anywhere. "I am interested in learning how to manage a podcast. This is an opportunity for us to develop into something more trendy and become well-known by the public with interesting information," said Yulis.

This training emphasized the importance of capacity building for the Library and Archive staff. By developing their skills in podcast management, staff members can create engaging, relevant, and adaptive content for their audience. "A podcast not only requires an interesting idea, but it also needs to be consistent. There are many tools available for designing ideas, from pre-production to production and post-production," said Dimas.

Participants were also given a direct look at the Podcast Studio, which will be used as a creative space. The creation of podcasts is expected to be carried out consistently. Dhimas added, "Just go ahead with the tools available, what's important is to produce work, and the equipment will follow later." By utilizing technology and focusing on capacity building, the Library and Archives can ensure that this is a testament to their commitment to adapt and evolve in the digital age, ultimately contributing to the achievement of the Sustainable Development Goals.

UGM Library and Archives Women’s Volleyball Team Enlivens Inter-Faculty Tournament for UGM’s 15th Lustrum Celebration

The Pancasila Sports Hall at UGM roared with cheers as the Women’s Volleyball Team from the UGM Library and Archives showcased their outstanding performance in the inter-faculty and unit volleyball tournament. This event, part of UGM’s 15th Lustrum celebration, was filled with joy and enthusiasm from both participants and supporters.

On Monday afternoon (2/12), the UGM Library and Archives Women’s Volleyball Team faced off against the Academic Hospital (RSA) UGM team. Both teams played with great spirit, fostering camaraderie and collaboration among units within the university.

Dressed in their signature blue jerseys, the players exuded confidence on the court. The cheers and applause from the crowd added extra energy, driving their performance to greater heights. Beyond competition, this match also supported the third Sustainable Development Goal (SDG): Good Health and Well-Being.

"Doing sports is a very good way to strengthen relationships among units at UGM," said Delta, one of the players. She added that the moments shared on the court created unforgettable memories.

The match concluded in a lively atmosphere, emphasizing that true victory lies in sportsmanship and the bonds of friendship formed. This game served as a reminder that sports are a powerful medium for building harmony, strengthening unity, and fostering a healthy spirit within the academic community.

Amid the vibrant atmosphere, this event inspired the entire UGM academic community to stay active and maintain their health. The volleyball tournament stood as a symbol of unity and well-being, reflecting the core values of UGM's Lustrum celebration.

Enhancing International Publications Through the IEEE Xplore Workshop

The inspiring workshop titled “Publishing Talk: Exploring & Publish with IEEE Xplore” was successfully held on Thursday, November 28, 2024. The event, which took place in the seminar room, served as a strategic step to strengthen international publication literacy among the academic community. This initiative was a collaboration between the UGM Library and Archives and iGroup. Through this initiative, the UGM Library and Archives demonstrated its strong commitment to supporting the achievement of Sustainable Development Goal (SDG) 17: Partnerships for the Goals.

A spirited welcome was delivered by Arif Surachman, S.IP., MBA., Head of the UGM Library and Archives. In his speech, Arif expressed hope that the event could serve as a strategic step to maximize the research potential of UGM's academic community in penetrating international journals.

“IEEE Xplore is a premier platform in the fields of computer science and electrical engineering that provides access to high-quality references and extensive publication opportunities. We hope that through this event, participants can explore the benefits of this platform to support their research productivity,” said Arif.

The workshop featured Alex Liu, Manager of Client Services at IEEE, as the speaker. In his presentation, Alex revealed various strategies for enhancing research quality, effectively utilizing the IEEE Xplore platform, and important steps for publishing in reputable international journals. Participants were then equipped with in-depth knowledge about the publication process, from selecting the right journal to improving their chances of acceptance for international publication.

Moderated by Safirotu Khoir, Ph.D., Coordinator of Public Relations and International Affairs at the UGM Library and Archives, the event took place in a warm and interactive atmosphere. Safirotu not only moderated the discussion but also encouraged participants to actively ask questions and share their experiences in the world of scientific publication. The high enthusiasm from the participants was evident, reflecting their strong interest in the topics being discussed.

This event marked the beginning for UGM researchers to increasingly contribute to the international scientific community. The UGM Library and Archives remains committed to supporting the development of information literacy and research productivity within the academic community, in line with efforts to achieve SDG 4: Quality Education.

UGM Library and Archives Strengthens Collaboration with the National Library of Indonesia

UGM Library and Archives warmly welcomed a visit from the National Library of Indonesia on Monday morning on November 25, 2024. The enthusiastic meeting took place in the Archives Meeting Room, 2nd Floor L7 Building, UGM Library and Archives. The Head of UGM Library and Archives, Arif Surachman, S.IP., MBA, welcomed the visit, accompanied by Erna Widayati, S.E., M.M., Head of the Archives Division; Safirotu Khoir, Ph.D., Coordinator of Public Relations and International Affairs; and Sarwono, SIP., MA., Coordinator of the Academic Resources Center.

The National Library of Indonesia delegation, represented by Vira Farhana, S.S., M.M., with the team Herwin Saswita, S.IP., and Arie Zani Purnomo, S.Pust., conveyed the purpose of their visit to monitor the implementation of the expired Cooperation Agreement in September 2024 and to discuss the plans for drafting a new Cooperation Agreement.

Arif Surachman revealed that the previous collaboration with the National Library of Indonesia had been limited to coordination meetings and data collection. “We hope that the next collaboration can generate more tangible and beneficial impacts, both for UGM Library and Archives and the broader academic community,” he said.

The meeting served as a productive discussion space to evaluate the results of the previous collaboration and formulate strategic steps for the new agreement. Several points discussed included joint training for librarians, research collaboration in the field of library and information science, preservation training and support for preserving physical forms of rare collections, the formulation of librarian standards relevant to UGM's needs, and a book donation program. These program initiatives are part of UGM Library and Archives’ efforts to support the achievement of SDG 4: Quality Education.

The visit concluded with an agreement to immediately begin drafting a more comprehensive new Memorandum of Agreement. Vira Farhana expressed her appreciation for the collaborative spirit proposed by UGM. She explained that the National Library of Indonesia is ready to facilitate the needs of UGM Library and Archives.

The Student Activity Unit Peduli Difabel Hosts an Exhibition at UGM Library and Archives

The Student Activity Unit Peduli Difabel of Universitas Gadjah Mada held an exhibition titled "The Gate: A Portal to an Inclusive World" at the UGM Library and Archives on November 21-22, 2024. This exhibition aimed to raise public awareness about the extraordinary potential of individuals with disabilities and celebrate their inspiring works.

Qintara, a member of UKM Peduli Difabel, shared a unique perspective on the exhibition. She likened it to a journey to Elysium, a concept from Greek mythology representing an inclusive world where everyone is happy to be. "Through this exhibition, we aim to bring Elysium to life, creating a space where everyone is valued, accepted, and given room to shine," she expressed.

The exhibition was a collaboration between UKM Peduli Difabel UGM, Jogja Disability Art (JDA), and Difabel Zone, showcasing incredible works by both individuals with disabilities and non-disabled contributors as part of the implementation of SDG 17: Partnerships for the Goals. In addition to these collaborations, the organizers also invited the public to participate through an open submission, which had been available earlier.

Aligned with SDG 3: Good Health and Well-being, the exhibition successfully garnered appreciation from visitors. One visitor, Satiti, shared her admiration for the displayed works. "The creations by individuals with disabilities are extraordinary. I feel inspired to be more motivated in producing art. Coincidentally, I’m also passionate about the arts," said Satiti.

The exhibition is part of the Harmoni Inklusi series, which consists of four chapters. This is the third chapter, themed "Gallery of Legends." As a form of support for individuals with disabilities, visitors are also encouraged to attend the grand finale of Harmoni Inklusi, set to take place on November 30, 2024, at the Faculty of Social and Political Sciences promenade.

Through partnerships with various communities, UGM Library and Archives continues to demonstrate its commitment to fostering an inclusive society that cares for every individual, without exception. This collaboration not only strengthens the library's role as a center for literacy and information but also creates significant positive impacts in raising social awareness and promoting a space that embraces diversity.

Book Donation from Caltex Chevron Enriches UGM Library Collection

Yogyakarta, November 21, 2024 - Alumni of Universitas Gadjah Mada (UGM) who are members of the Indonesian Caltex Chevron Pensioners Foundation (YPCCI) have donated a valuable collection of books to UGM Library and Archives. The handover ceremony took place on Thursday (21/11) in the Archives Meeting Room at UGM Library and Archives, with representatives from both parties in attendance.

The donation was formally received by Arif Surachman, S.IP., MBA, Head of UGM Library and Archives, accompanied by Martina Uki Emilyasanti, a staff member specializing in collection development. Representing YPCCI, Wahono Sukardjo, Chairman of the Board, attended along with three members of the delegation, reinforcing their commitment to supporting education through literacy contributions.

In his remarks, Arif expressed gratitude for the donation. “We are deeply thankful for this donation. These books will enrich the collection at UGM Library and Archives, offering tremendous benefits to the academic community.” Wahono Sukardjo, Chairman of the YPCCI Board, shared his joy in giving back to his alma mater. He explained that the donation represents their contribution as alumni, with hopes that the donated collection will be beneficial and support the learning process at UGM.

The donated books include five titles, comprising 21 copies in total: Cingkunek, Melintas Cakrawala, Memimpin dengan Nurani, 97 Years Chevron, and Dinamika Industri Migas. Published by YPCCI, Tahija Foundation, and Chevron, these books provide significant insights into leadership, the history of the energy industry, and reflections on Chevron's long journey in Indonesia.

Optimizing the Use of E-Resources, UGM Library and Archives Holds Training of Trainer for Librarians

Yogyakarta, November 19-20, 2024 – In an effort to support the optimization of e-resources utilization, the UGM Library and Archives organized a Training of Trainer (TOT) for librarians, held at the Computer Lab Room, L1 Building, 5th Floor, UGM Library and Archives. This event was attended by a number of librarians and library staff from UGM, eager to deepen their understanding of accessing and utilizing the available library databases.

In his opening remarks, Arif Surachman, SIP., MBA., Head of UGM Library and Archives, expressed his hope that the librarians attending the training would be able to pass on the knowledge they gained to students and assist them in accessing various scientific information sources through the databases subscribed to by UGM Library and Archives.

On the first day, participants were invited to explore two important databases, ProQuest and Statista, to support research. Dwi Janto Suandaru, Marketing Manager of PT. Jasaraya Tama Jaya Buana, was the speaker for this session, offering insights into how these databases can be used to enhance research quality and knowledge development.

On the second day, the training continued with a presentation on the Taylor and Francis database by Ardy Chandra, Online Resources Sales Manager at Taylor and Francis Group. This session was followed by a training on the Sage Premier Journal and Sage Research Methods Suite databases, presented by Efa Silvia from iGroup Indonesia. The participants showed great enthusiasm, attentively following each session, ensuring the smooth flow of the training.

UGM, PAPTI, and UNESCO Organize Workshop on Disaster Risk Management: Managing Strategies for Disaster Prevention and Preparedness at UGM

Yogyakarta, October 31, 2024 - A workshop titled "Disaster Risk Management: Managing Strategies for Disaster Prevention and Preparedness" was held in collaboration between Universitas Gadjah Mada (UGM), the Indonesian Association of University Archives (PAPTI), and the United Nations Educational, Scientific and Cultural Organization (UNESCO) at the Sekip Room, University Club (UC) Hotel UGM, Yogyakarta, from October 29 to 31, 2024. The workshop was attended by 41 participants representing archival institutions, libraries, and museums from various regions across Indonesia.

This workshop aimed to raise awareness and practical skills in disaster risk management, particularly in the context of preserving archives, libraries, and museum collections. The event was part of a series organized by Universitas Gadjah Mada to strengthen collaboration and build the capacity of cultural institutions in addressing disaster risks.

The speakers included Widiatmoko Adi Putranto, Lecturer of the Archive and Information Records Management Study Program at Universitas Gadjah Mada, and Sanira Beevi binte Karim Gani, Head of the Preservation Laboratory at the National University of Singapore. Sanira presented material relevant to Indonesia's conditions, such as humidity, mold, and chemical factors, as well as preventive measures.

Sanira also noted that awareness of collection care is not just an issue in Indonesia but is faced by many countries, including Singapore. “This does not only happen here but is also a problem for many countries,” she remarked.

Over the course of three days, participants received comprehensive material on disaster prevention and preparedness strategies delivered by experts in risk management and cultural preservation. The workshop sessions covered various topics, from risk identification and disaster mitigation to creating effective emergency response plans to protect cultural assets owned by each institution.

Participants were divided into seven groups to discuss strategies for disaster mitigation related to their collections and presented their findings to the other attendees. The participants were enthusiastic about engaging in the discussion and simulation sessions designed to enhance their understanding of practical steps in facing disaster threats. Through these sessions, they were expected to apply relevant and effective strategies in their respective institutions to protect collections and archives from disaster risks.

UGM Collaborates with PAPTI to Hold the International Conference on Archives, Social Science, and Humanities (ICoASHE) 2024

Yogyakarta, October 30, 2024 - The International Conference on Archives, Social Science, and Humanities (ICoASHE) 2024 was officially opened on October 28, 2024. The event was organized by Universitas Gadjah Mada (UGM) in collaboration with the Indonesian Association of University Archives (PAPTI). The three-day event ran from October 28 to 30, 2024, at the University Club (UC) Hotel UGM, Yogyakarta, under the theme “Sustainable Archiving, Education, and Cultural Preservation on Global Approach.”

The opening of ICoASHE 2024 was attended and inaugurated by University Secretary, Andi Sandi Antonius Tabusassa Tonralipu, SH., LLM, accompanied by the Head of UGM Library and Archives, Arif Surachman, S.IP., M.B.A., who also delivered the committee's report. The keynote speakers at ICoASHE 2024 included UGM Vice Rector for Education and Learning, Prof. Dr. Wening Udasmoro, S.S., M.Hum., DEA., and PAPTI Chairman, Prof. Dr. H. Nandang Alamsah Deliarnoor, S.A.P., S.H., M.Hum.

In her video message, Prof. Dr. Wening Udasmoro expressed gratitude and appreciation to all parties involved in the success of ICoASHE 2024 at Universitas Gadjah Mada and hoped that the event would be beneficial for archive management and preservation.

“I would like to express our gratitude and highest appreciation to the Indonesian higher education archives association and the University Gadjah Mada Library and Archives for holding this prestigious event. This conference is an important momentum to explore and discuss solutions to the challenges in archive management and sustainable preservation at both the Indonesian and global levels,” said Wening.

On the first day, 13 presenters from various regions and professions presented their research in four parallel sessions. Each session was dynamic and interactive, guided by moderators who ensured active participation from the international seminar attendees.

The event continued with the PAPTI congress attended by all PAPTI officials and members, including PAPTI Honorary Board member Dr. M. Taufik, M.Si. The congress discussed the work program and management structure of PAPTI for the next period.

The second day began with presentations by three presenters, including the main presenter, Drs. Djoko Utomo, M.A., former Head of ANRI (National Archives of the Republic of Indonesia) 2004-2009 and currently an Honorary Member of SARBICA, who presented a paper titled “The Use of Artificial Intelligence for Archival Assessment of Pope Francis’ Visit to Indonesia: An Initial Thought.”

After the presentations, participants listened to material from prominent seminar speakers: Prof. dr. K.J.P.M. Charles Juergens, Prof. Sue McKemmish, Ph.D., Prof. Yako Kozano, and Widiatmoko Adi Putranto, M.L.I.M. The seminar, moderated by Dr. Suzie Handajani, M.A., discussed the role of archives in supporting the Sustainable Development Goals (SDGs), including enhancing access to information and quality education.

The seminar was followed by a panel discussion that provided an opportunity for participants to exchange ideas and delve deeper into the implementation of archives in social and cultural contexts. At the end of the event, PAPTI presented the PAPTI Award to individuals who have made significant contributions to archive management in Indonesia.

On the third day, participants visited the Yogyakarta Palace (Kraton Yogyakarta), a cultural heritage site rich in the history of Yogyakarta. This visit aimed to provide deeper insights into the preservation of archives and local culture and link it with efforts to achieve the SDGs, especially in terms of cultural heritage preservation and public education.

The ICoASHE 2024 is expected to encourage collaboration and innovation in the fields of archives, social sciences, and humanities, as well as raise awareness of the importance of sustainable information management for a better future.

The 19th AUNILO Meeting: “Enhancing Future Skills for Academic Librarians”

The Library and Archives of Universitas Gadjah Mada (UGM) attended the 19th AUNILO Meeting held on October 30 to November 1, 2024, at Chiang Mai University, Thailand with the theme “Enhancing Future Skills for Academic Librarians”. This meeting was organized by the ASEAN University Network Inter-Library Online (AUNILO) which is part of the ASEAN University Network (AUN) program. The first day opened with a warm welcome from key figures who showed strong support for ASEAN library collaboration. The initial remarks were delivered by Mr. Pratch Sanguansak as Director of Chiang Mai University Library; followed by Prof. Rattasit Sukhahuta, Ph.D. as Vice Chancellor of Chiang Mai University, and followed by Shameem Nilofar Maideen as AUNILO Secretariat and Head of Library of Singapore Management University. Prof. Dr. Thanapan Laiprakobsup as Deputy Executive Director of AUN, also gave his speech and conveyed various AUN programs in strengthening the spirit of collaboration for library development in Southeast Asia.

The opening session was followed by a keynote speech from Assoc. Prof. Dr. Songphan Choemprayong from the Faculty of Arts, Chulalongkorn University. In his speech titled “Insiders and Outsiders in Collection Development and Cataloging Practices of ASEAN Materials in a Global Bibliographic Universe”, Songphan reviewed the challenges and opportunities in collection development and cataloging practices of ASEAN materials in a global bibliographic landscape. Participants gained insight into how local and international perspectives can work together to enrich library collections and improve the accessibility of ASEAN materials in a globalized world.

Afterwards, the event continued with a report submission session from each AUNILO participating country, namely Cambodia, Indonesia, Malaysia, Philippines, Singapore, Thailand, Vietnam, and Brunei Darussalam. UGM's position as a proactive institution in the ASEAN university library network and support the advancement of information literacy in accordance with the 4th Sustainable Development Goals (SDGs), namely quality education.

On the second day, the meeting continued with a business meeting that discussed AUNILO activities that have been carried out and future plans to strengthen library collaboration in ASEAN. In addition, a workshop titled “Power Up Your Library: Unleashing the Potential of AI” hosted by Assoc. Prof. Dr. Suthida Chamrat from the Faculty of Education, Chiang Mai University. The workshop explored various artificial intelligence (AI) applications such as Chat GPT, Suno AI, Copilot, Invideo AI, STORM, and SciSpace. This activity gave librarians new insights into the utilization of AI in improving library efficiency. Participants directly tried these platforms to understand how they work and the benefits that can be optimized in their respective libraries.

On the third day, the activity ended with a Networking Activities & Chiang Mai Experience session. The participants were invited to visit various iconic and historical places in Chiang Mai as a form of increasing local knowledge and

This activity is also one of the moments to strengthen the relationship between AUNILO members. This activity directly supports the 17th SDGs goal on partnerships to achieve goals. The involvement of UGM Libraries and Archives in the 19th AUNILO Meeting emphasizes the university's commitment to developing libraries that are adaptive and responsive to changing times, as well as fostering sustainable collaboration with university library networks in Southeast Asia.
